How to locate and preserve video after an incident

If you are authorized to review recordings, start by recording the incident time, time zone, location, and relevant camera names. Retention varies by system and storage settings, so begin promptly.

Locate the relevant footage

  1. Use the platform's normal playback or event-search tools.
  2. Check the displayed camera time against the time reported for the incident. Note any difference rather than changing the system clock during your review.
  3. Review a period before and after the event to preserve context.
  4. Check other authorized camera views that may help explain the sequence.

Preserve a copy

Use the manufacturer's documented export or download workflow. Export the original or native format when available, and retain any required player or verification file provided with the export. Confirm that the exported file opens and contains the intended cameras and time range.

Keep an unchanged original copy in approved storage. If you create a shorter clip or annotated copy, keep it separate from the original. Record who exported the video, when it was exported, and which camera and time period it covers.

Share deliberately

Follow your organization's access and incident-handling procedures. Avoid posting footage publicly or creating an unrestricted sharing link. Ask for an approved transfer method before sending recordings to PGC or another recipient.

Contact PGC support with the platform, camera names, incident time, time zone, and any export error. Do not reset the recorder, format storage, or delete footage while the issue is being investigated. Recovery of overwritten or unavailable recordings cannot be promised.
